The market for employee time tracking apps has exploded in the last three years. A quick search returns dozens of solutions โ€” some built for multinationals with thousands of employees, others aimed at solo freelancers, very few genuinely suited to an SME with 10 to 50 people. And the paradox is that the more options there are, the harder it becomes to choose the right one.

This guide won't tell you which is "the best app overall" โ€” that doesn't exist. It will give you the concrete criteria to evaluate any solution you're considering, the questions to ask your vendor before signing anything, and the red flags that tell you to walk away.

The 7 Essential Criteria for Choosing a Time Tracking App

1. Ease of Use for Employees

This is criterion number one, and it's almost always underestimated. An app that employees don't use โ€” or use reluctantly โ€” doesn't give you reliable data. Full stop.

Simplicity means: how many taps does it take to clock in? Does the app work with a slow or absent connection? Is it available on both Android and iOS? Can an employee figure it out immediately without training?

If you need to spend half a day onboarding every new hire on how to use the attendance app, something is wrong. The good news: modern solutions take 30 seconds, no manual required.

2. Geofencing and GPS Verification (Anti-Fraud)

Without location verification, a time tracking app is barely better than a shared spreadsheet: someone can clock in from home, a cafรฉ or their bedroom, and you have no way of knowing.

Geofencing solves this elegantly: the employee can only clock in when physically inside a configured area (office, construction site, retail location). No continuous tracking needed โ€” just verification at the moment of clock-in and clock-out.

4. Reports Compatible with Your Payroll Process

This is where you see who has actually built a solution for business payroll and who has just translated a foreign product.

Your payroll process requires reports in a specific format: attendance per employee per month, regular and overtime hours separated, absences categorised. If the app doesn't export this data cleanly โ€” in Excel or CSV with the right columns โ€” you'll end up doing the work manually every month, cancelling out the benefit of the tool.

Always ask for a demo that includes an actual export before deciding. Better yet, show the sample report to your payroll manager or accountant and ask if they can work with it.

5. GDPR Compliance and European Data Hosting

Your employees' attendance data is personal data subject to GDPR. Your vendor must be able to answer these questions clearly:

  • Is data hosted on servers within the European Union?
  • Does the vendor act as a data processor under Art. 28 GDPR and offer a written Data Processing Agreement (DPA)?
  • How long is data retained on the platform?

If the vendor can't answer or is vague, that's a red flag. If there's a GDPR violation, the fine doesn't land on them โ€” it lands on you.

6. Integration with Your Payroll Software

Not every time tracking app integrates natively with every payroll system. What matters is understanding how easy it is to extract data in a format your payroll software can import.

If there's no native integration, verify at least that the CSV export is compatible with the format your system requires. The ultimate goal is to eliminate manual data re-entry between systems.

7. Support in Your Language and Response Times

This sounds like a detail. It isn't. When an employee can't clock in on a Monday morning, you don't have time to open a ticket in a foreign language and wait 48 hours. You need someone who answers quickly, ideally within a few hours.

Check available support channels (chat, email, phone), their hours, and look for reviews that specifically mention responsiveness โ€” not just features.

What You DON'T Need (But Will Be Charged For Anyway)

The market is full of solutions that sell enterprise features at "accessible" prices, without an SME actually needing them.

Dedicated hardware, RFID badges, fixed tablets: unless you have specific security requirements or employees without smartphones, all this hardware is cost, maintenance and a single point of failure. A good app on a personal or company smartphone is more than sufficient.

Performance management, OKR, employee wellness modules: great features for those who use them, but if you're paying for a time tracking tool you don't need performance reviews and wellbeing surveys attached. The added complexity slows adoption and increases price.

"Predictive" AI and machine learning: many vendors slap an AI label on everything. In reality, for an SME of 20 people there isn't enough historical data to extract meaningful patterns. You're paying for algorithms that don't actually work at your scale.

Questions to Ask Your Vendor Before Signing

Put the vendor under pressure with these questions before making a decision. Their answers will tell you everything you need to know:

  1. Where is data physically hosted? (EU servers, specific provider, certifications)
  2. Do you offer a Data Processing Agreement for GDPR compliance?
  3. Can I see a sample report exported to Excel?
  4. How many sites/geofences are included in the plan you're quoting?
  5. How does geofencing work on construction sites that move location?
  6. Does the app work offline (clocking without a connection)?
  7. What is your support SLA? Do you offer support in English?
  8. What happens to my data if I cancel my subscription?
  9. Is there a native integration with [your payroll software]?
  10. Can I import employees from a CSV file or do I have to enter them manually?

A serious vendor has a ready answer for all ten. One who hesitates on questions 1, 2 or 8 โ€” data, privacy, exit โ€” is a vendor to avoid signing annual contracts with.

Red Flags of a Poor-Quality App

Some patterns repeat with problematic vendors. Keep them in mind during your evaluation:

No free trial or real demo. If they won't let you try the product before paying, or only offer a guided demo without direct access, there's something they don't want you to see.

Hidden fees in the contract. The per-employee/month price looks low, but then there are extra charges for additional sites, priority support, advanced export, GDPR module. Always ask for the total cost for your specific configuration.

Poor ratings in the app stores. Before deciding, check reviews on Google Play and the App Store โ€” not just the average, but the most recent ones (last 3-6 months). Unresolved technical issues show up there.

Can't delete the account or export all data. Some vendors deliberately make it hard to leave: you have to open a ticket, wait weeks, and your historical data isn't fully exportable. Check how you exit before you enter.

No mention of compliance or data regulations. If the website and documentation never mention GDPR, data residency or privacy compliance, the product was built for a different market or a different era. It may work technically, but you'll be adapting every process manually.
